Privacy policy

Not legal advice. This is a plain-language starting policy written to describe how this site and service actually work. Have a Washington attorney review it before you rely on it, particularly the call-recording and CCPA/CPRA sections if you take calls from California residents.

Who we are

Cornerstone Voice Studio is a trade name of Richard Chai. The data controller for the purposes of this policy is Richard Chai, based in Seattle, Washington, United States. References to “we” and “us” below mean that entity. Reach us at admin@cornerstonevoicestudio.com or (425) 529-5165.

What this policy covers

Two different things, held to different rules:

  • This website. Information you give us directly, plus minimal analytics.
  • Calls we handle for a client. When we answer a phone line on behalf of a contractor, we are a service provider processing that contractor's customer data on their instructions. Their privacy policy governs the relationship with their customers; ours governs what we do as processor.

Information we collect from this website

  • What you type into the contact form: name, company, phone, email, trade, and your message. We use it to reply to you and for nothing else.
  • Analytics: aggregate, cookieless page-view counts. No cross-site tracking, no advertising pixels, no profile building. We do not use advertising cookies on this site.
  • Server logs: our host records IP address, user agent, and requested URL for security and abuse prevention, retained on their standard schedule.

Information involved in calls

When we operate a line for a client, we process caller phone number, name, service address, the answers given during intake, appointment details, and a transcript and summary of the conversation. This is written into the client's own CRM. We do not sell it, we do not use it to train third-party models, and we retain it only as long as the client's account is active or their contract requires.

Call recording and Washington consent

Washington is a two-party consent state. Audio recording is off by default and is enabled only where a client asks for it; when enabled, the call announces at the outset that it is being recorded, and a caller who declines is transferred or handled without recording. Transcripts and structured summaries generated from a live call are treated the same way as recordings for consent purposes.

Automated calling and texting

Outbound callbacks and text messages happen in response to an inbound request — a form submission, a text, or a missed call to the client's own line. Reply STOP to any text to opt out of further messages; opt-outs are honored immediately and permanently.

Who we share it with

Only with the vendors that make the service run, each acting on our instructions under contract: our voice provider, telephony provider, model provider, orchestration and database hosts, our web host, and email delivery. We do not sell personal information and we do not share it for cross-context behavioral advertising. We disclose information to authorities only where legally compelled.

How long we keep it

  • Contact-form submissions: up to 24 months, then deleted.
  • Call transcripts and records: for the life of the client account, unless the client instructs a shorter schedule.
  • Recordings, where enabled: per the client's retention setting; 90 days if they haven't set one.

Your rights

Email admin@cornerstonevoicestudio.com to access, correct, export, or delete information we hold about you, or to object to processing. We respond within 30 days and we don't charge for it. If you are a caller to one of our clients' lines, we will route your request to that business, since the data is theirs.

Security

Data is encrypted in transit. Access is limited to the people who need it to run the service. No system is perfect; if a breach affects you, we will tell you and the relevant regulator as required by Washington law.

Children

This is a service sold to businesses. We do not knowingly collect information from anyone under 16.

Changes

We'll update the date at the top when this changes materially, and we'll keep the change obvious rather than quiet.
